New Kofax Mailroom Automation Solution Unveiled

Kofax, a provider of Capture Enabled BPM (business process management) solutions, has rolled-out a new digital mailroom solution, Kofax Mailroom Automation.


The use of automated digital mailrooms – the automation of incoming mail processes – has increased in a variety of industries, such as business process outsourcing (BPO), insurance, government and banking. Automated mailrooms deliver higher return on investment (ROI) in a short span of time by eliminating a significant portion of manual labor costs associated with traditional mailroom processes.

According to Kofax, the new Mailroom Automation is the first digital mailroom solution to deliver complete visibility into incoming documents and information via process analytics and visualization dashboards. This feature facilitates organizations to track and review, as well as modifies information at any point in the business process.

The Kofax Mailroom Automation solution is a comprehensive automated business process that perfects the information captured by the organizations for virtually any customer lifecycle touchpoint and transaction type.

Kofax Mailroom Automation automatically alerts the user of any missing formalities by their customers. First, the documents are captured, digitally classified and separated. Then, the data is extracted according to business rules established by the customer and this extracted data is then validated to ensure its accuracy and validity before being distributed to customer workflows and processes.

Generally, companies offering services, such as invoice processing and image based document storage, utilize digital mailrooms to ingest and process incoming mail for their customers.

The new solution not only provides added visibility, control and process automation to all mailroom tasks, but also provides the capability to encompass all new mail channels including mobile, MFP and web submission. In addition, it also offers extension of business rule validation to the customer, line of business or any other point where knowledge resides to perfect Not-in-good-order (NIGO) documents.

With the help of new Kofax Mailroom Automation solution, critical customer facing and other applications can be closely monitored for better control. This in turn results in: accelerated processing, increased responsiveness and a better customer experience.

The new Kofax Mailroom Automation solution transforms the traditional digital mailroom by combining BPM, dynamic case management, process analytics and visualization dashboards with the company’s document capture solutions. It provides organizations with scalable, flexible, accurate and secure mailroom capabilities, said Martyn Christian, chief marketing officer at Kofax, in a stataement.

Christian added, “Automated mailrooms can deliver an ROI in less than 18 months by eliminating a significant portion of the manual labor costs associated with normal mailroom processes.

In recent news, Kofax also rolled-out MarkView for Accounts Payable 8.0, the first fully secure mobile solution for the automated capture and processing of accounts payable (AP) information.
